Privacy Policy

The short version
- Your maps, notes, chats and documents are yours. We use them to run Mindboard for you, and for nothing else.
- We don't sell your personal information, and we don't show ads.
- We don't use your content to train our own AI models.
- To give AI answers, we send the relevant content to our AI provider. We rely on trusted services for sign-in, payments, email and hosting, and they only get what they need to do their job.
- You can delete your content, ask for a copy of your data, or ask us to delete your account at any time.
This policy explains how Mindboard, a product of Autonomy Systems Group LLC ("Mindboard", "we", "us") handles your information when you use our website at mindboard-asg.com and our app at mindboard-asg.app (together, the "Service").
1. Information we collect
Information you give us
- Account details: your name, email address and sign-in details.
- Your content: the maps, nodes, notes, chats, sketches, projects, tasks, comments and saved resources you create, and the documents you import or attach.
- Setup answers: what you tell Mindboard about your goals, audience and preferences, so it can shape your AI advisors.
- Messages to us: anything you send to info@mindboard-asg.com.
Information collected when you use the Service
- Usage and credits: which features you use, AI credit usage, and plan limits, so we can run your plan and keep the Service fair.
- Technical data: device and browser type, IP address, and logs used to keep the Service secure and working.
- Cookies: essential cookies that keep you signed in. We don't use advertising cookies.
Payment information
Payments are handled by Stripe. We never see or store your full card number. We receive limited details from Stripe, such as your plan, billing status and the last four digits of your card.
2. How we use your information
- To provide the Service: create and sync your maps, run AI features, share maps with the people you invite, and send the notifications you'd expect, like invites and @mentions.
- To run your plan: track credits and limits, process payments, and send billing emails.
- To keep things safe: prevent abuse and fraud, and fix bugs.
- To improve Mindboard: using usage data about which features are used and how much. We don't read your private content for this.
- To reply when you contact us.
3. AI processing
When you use an AI feature, such as node chat, expanding ideas, Board Meetings, document import or Empower Me, we send the content needed for that request to our AI provider (currently Google's Gemini API) and show you the result. That content can include your prompt, the relevant part of your map, notes and attached documents. We use the provider's paid API, under terms that govern how it may handle this data. We don't use your content to train our own models.
AI answers can be wrong. Please check anything important before you rely on it.
4. Who we share information with
We share information only with the service providers that help us run Mindboard, and only as much as each one needs:

People you collaborate with: when you share a map, the people you invite can see that map's content and your name. Your comments and edits on that map are visible to them.
We may also share information if the law requires it, to protect the rights and safety of our users or of Mindboard, or as part of a merger or sale of the business, in which case this policy continues to apply to your information.
We do not sell or rent your personal information.
5. How long we keep it
We keep your account and content for as long as your account is open. If you cancel a paid plan, your content stays and your account moves to the Free plan. When you delete content, it is removed from the Service. Backups are cleared on a rolling basis. When you ask us to delete your account, we delete your personal information within 30 days, except for records we must keep for legal, tax or accounting reasons, such as payment records.
6. Your choices and rights
- Access and correct: you can view and update your account details in the app.
- Delete: you can delete your own content in the app. To delete your whole account, email info@mindboard-asg.com from your account's email address.
- Copy: you can ask us for a copy of your personal information.
- Emails: you can turn off non-essential notifications. We'll still send you important account and billing emails.
Depending on where you live (for example in the EU, the UK or California), you may have additional rights, such as the right to object to or limit some processing, or to complain to your local data protection authority. We'll honor these rights as the law requires. Email us and we'll respond within 30 days.
7. Security
We use industry-standard safeguards, including encrypted connections, secured sign-in through Clerk, access controls on shared maps, and payments handled by Stripe. No online service is perfectly secure, so please use a strong password and keep your sign-in details private.
8. International transfers
Mindboard and its providers are based in the United States, and your information may be processed there or in other countries where our providers operate. Where the law requires, we rely on appropriate safeguards for these transfers.
9. Children
Mindboard isn't meant for children under 13, and we don't knowingly collect their information. If you're under 18, please use Mindboard with the permission of a parent or guardian. If you believe a child under 13 has given us information, contact us and we'll delete it.
10. Changes to this policy
If we make meaningful changes, we'll update the date at the top and tell you by email or in the app before the changes take effect.
